This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you access or use our web platform, educational tools, and services at vetquestai.com (the "Service"). By creating an account, connecting via third-party authentication, or accessing the Service, you consent to the practices described in this Privacy Policy.

1. Information We Collect

We collect information that identifies or relates to you in the following categories:

  • Account & Profile Information: When you register, we collect your name, email address, password (hashed securely via Supabase Auth), veterinary institution/university, and current academic stage or study track (e.g., Year 1-5, post-grad board preparation).
  • Third-Party Authentication Data (Google OAuth): If you choose to sign in with Google, we receive your verified email address, public profile name, and account identifier from Google in accordance with the permissions granted on your Google OAuth consent screen.
  • Billing Information: Payment transactions are handled directly through our third-party payment processor, Stripe. VetQuest AI does not store or collect full credit card numbers, CVVs, or bank account details on its servers. Stripe provides us with tokenized customer identifiers, subscription tier statuses, and transaction history.
  • User-Uploaded Study Materials: You may choose to upload study documents (including PDF lecture slides, notes, syllabi, or Anki export files) to customize your case generation workspace.
  • Usage & Academic Analytics: We collect performance data generated through the platform, including case completion rates, Footprint Points, study streaks, question accuracy percentages, and flagged questions.
  • Technical & Device Information: We automatically collect standard internet log data such as IP address, browser type, operating system, and session timestamps to maintain platform security and performance.

2. How We Use Your Information

We use your information strictly for educational, operational, and billing purposes:

  • To authenticate your account, manage subscriptions, and deliver personalized clinical simulation scenarios.
  • To index and retrieve excerpts from your uploaded notes and slides solely to synthesize interactive study cases tailored to your curriculum.
  • To calculate user progress, campus leaderboards, and accuracy analytics across clinical disciplines.
  • To send critical account notifications, including password resets, authentication emails, and subscription invoices (via transactional email providers such as Resend).
  • To detect and prevent security abuse, fraudulent billing, or violations of our Terms of Service.

3. AI Processing & Document Isolation (Safe Harbor)

VetQuest AI uses advanced artificial intelligence models (including Google Gemini) to generate interactive clinical scenarios, grade open-ended answers, and power the Socratic VetCoach assistant:

  • Strict User Sandboxing: All study materials, slides, and personal notes uploaded by students are partitioned and stored in private cloud storage and isolated vector database namespaces (pgvector) strictly scoped to your individual user_id. Your uploaded files and private notes are never accessible to or searchable by other users.
  • No AI Model Training: We do not use, sell, or license student notes, private university slides, or user personal data to train public foundation models or commercial large language models.
  • Temporary Reference Context: Uploaded materials are accessed solely as ephemeral, temporary context via Retrieval-Augmented Generation (RAG) to generate clinical practice questions, with strict system safeguards against verbatim copying or publishing of proprietary text.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties or advertising networks. We share your data only with trusted service providers essential to running the application:

  • Authentication & Database Hosting: Supabase (PostgreSQL database, user authentication, and secure storage).
  • Payment Processing: Stripe (subscription management and billing webhooks).
  • Transactional Email Delivery: Resend (automated password resets and verification links).
  • Cloud Infrastructure & Hosting: Vercel (application deployment and edge hosting).
  • Legal Compliance: We may disclose your information if required to do so by applicable law, court order, or valid governmental subpoena, or to protect the safety, rights, and property of VetQuest AI and its users.

5. Data Retention & Account Deletion

  • Active Accounts: We retain your account details, simulation history, and uploaded workspace files as long as your account remains active.
  • Inactive & Non-Renewed Accounts (30-Day Policy): In accordance with our Terms of Service, if an account does not transition to a paid subscription after a free trial or if a paid subscription is terminated, private study documents, slides, and corresponding vector embeddings are retained for a grace period of thirty (30) days. After 30 days of continuous non-renewal, uploaded workspace files and vector indexes are permanently purged from our servers to maintain database hygiene.
  • User-Initiated Deletion: You may request complete deletion of your account, profile data, and all associated files at any time by contacting us at privacy@vetquestai.com or support@vetquestai.com.

6. Security Safeguards

We implement industry-standard administrative and technical security measures, including SSL/HTTPS transport encryption, Supabase Row-Level Security (RLS) policies on database tables, and access token authentication. While we work continuously to protect user data, no electronic transmission over the internet or cloud storage system can be guaranteed 100% secure.

7. Children's Online Privacy

VetQuest AI is an academic and professional training service intended for university students, veterinary medicine candidates, and adult learners. We do not knowingly collect or solicit personal information from children under the age of 16. If we learn that we have collected information from a child under 16 without verified parental consent, we will promptly delete that data.

8. Your Rights & Contact Information

Depending on your jurisdiction (including rights under the EU General Data Protection Regulation / GDPR), you may have the right to access, review, correct, or request the deletion of your personal data held by VetQuest AI.
